Privacy & GDPR notice
Last updated: 13 October 2026
This notice explains how the operator of AssetIQ (“we”) processes personal data when you use the free AssetIQ service. It is written to reflect the principles of the EU General Data Protection Regulation (GDPR).
1. Controller and contact
Controller: Mert Ozgur, publisher and operator of the AssetIQ service, reachable at admin@assetiqpro.cloud.
Privacy contact: admin@assetiqpro.cloud. No Data Protection Officer has been appointed; the privacy contact handles all data protection requests.
2. What data we process
Account data: name, work email address, authentication identifiers and the sign-in method you use (email/password or Google).
Operational data you enter: employee records, asset assignments, sites and locations, tickets, maintenance notes, licence seat holders and related history entries.
Technical data: IP address, browser and device information, timestamps, and application/security logs generated when you use the service.
No payment or billing data is processed: AssetIQ is free of charge and no payment details are ever requested or stored.
3. Purposes and legal bases
Providing the service and your organisation's asset records — performance of a contract (Art. 6(1)(b)).
Security, abuse prevention, audit logging and troubleshooting — legitimate interests (Art. 6(1)(f)).
Optional analytics cookies and product improvement — consent (Art. 6(1)(a)), which you can withdraw at any time via cookie preferences.
4. Cookies
Strictly necessary cookies and local storage keep you signed in, remember your language choice and store your cookie decision. They are set without consent because the service cannot function without them.
Optional analytics cookies are only set after you accept them. Choosing “Essential only” prevents them, and you can change your decision at any time using the “Cookie preferences” link in the footer.
5. Recipients and subprocessors
We use service providers acting on our instructions: cloud hosting and managed database/authentication infrastructure and — only where your organisation enables them — the ITSM, chat and accounting integrations you configure yourself (for example a ticketing system, a chat workspace or an accounting tool).
Data sent to integrations you enable is transmitted to the endpoints you configure, under your organisation's own agreements with those providers.
The operator maintains the current list of subprocessors and makes it available on request.
6. International transfers
Where a provider processes data outside the European Economic Area, transfers rely on an appropriate safeguard such as an adequacy decision or the European Commission's Standard Contractual Clauses. Details are available on request.
7. Retention
Operational records are kept for as long as your organisation's account is active, plus the retention period configured by your administrator.
Security, audit and integration logs are kept for a limited troubleshooting period and then deleted or aggregated.
On termination, data is deleted or returned according to the arrangement agreed with your organisation.
8. Your rights
You have the right to access, rectification, erasure, restriction, data portability, and objection to processing based on legitimate interests, as well as the right to withdraw consent at any time.
If you use AssetIQ through your employer, your employer is the controller for the operational records it manages — please address requests to them first; we will assist them as processor.
To exercise your rights, contact the privacy address above. You may also lodge a complaint with your national data protection authority.
9. Security
Access to your organisation's records is restricted to authenticated members of that organisation, enforced at the database level, with role-based permissions for administrative actions. Traffic to the service is encrypted in transit.
No online service can be guaranteed absolutely secure. Suspected vulnerabilities or incidents can be reported to admin@assetiqpro.cloud.
10. Changes
We update this notice when our processing changes. The date at the top of this page reflects the latest version.
